    Booking Terms & Conditions

    At Easy Travel Iceland (operated by Easy transfer ehf.) we focus on private journeys, reliable service and clear communication from first inquiry to final drop-off. The terms below apply to every booking made through our website, by email or through approved sales channels. By accessing the site, completing a reservation or travelling with us you confirm that you have read, understood and agreed to these terms.

    These terms may be amended from time to time. The cancellation policy noted on your booking confirmation or itinerary is the policy that applies to your trip, regardless of any later changes to this page.

    Travel Professionals

    If you are a Travel Agent, Reseller, DMC or OTA, please contact us at info@easytravel.is for our Partner Terms & Conditions. Those terms supersede the standard policies on this page and are tailored to the specific commercial agreement between us.

    Bookings & Confirmations

    Easy Travel Iceland offers private tours and bespoke multi-day journeys. Bookings can be made directly via our website or by working with our travel team. Once a booking is confirmed you will receive a confirmation email containing your booking reference and service details. The confirmation is your proof of purchase ​ please keep it available on the day of travel (electronic format is fine).

    Please review every detail on your confirmation carefully ​ date, pickup time, passenger count, ages, pickup location and any special requirements. If anything is incorrect, contact us as soon as possible. The closer to the departure date, the harder it can be to amend a reservation. Easy Travel Iceland cannot be held responsible for mistakes made during the booking process by the customer.

    Rates & Currency

    All prices for services provided by Easy Travel Iceland are quoted in Icelandic Krona (ISK) unless agreed otherwise. Any pricing displayed in another currency on our website or through approved resellers is indicative only and subject to exchange-rate fluctuation ​ the ISK price takes precedence. We are not responsible for currency fluctuations or third-party fees such as bank transfer charges or credit card fees.

    Easy Travel Iceland reserves the right to amend rates in case of economic changes, including currency fluctuations, inflation, increased supplier costs, tax changes or other force majeure events. Where VAT or other taxes change, contracted prices will be adjusted accordingly, including for reservations already confirmed or paid. All rates are inclusive of VAT and subject to any official tax changes.

    Payment Policy

    Private day tours: bookings made through our website are charged in full at the time of booking, unless agreed otherwise in writing.

    Multi-day journeys & bespoke FIT / MICE / B2B packages: a 2550% deposit is required to secure the booking, with the balance due no later than 8 weeks before the scheduled start date. If the trip is confirmed within 8 weeks of the start date, full payment is required at the time of confirmation.

    Specific payment terms for groups, MICE programmes and partner agreements are set out in the relevant proposal or contract and prevail over the standard terms above.

    Cancellations & Refunds

    Private day tours: cancellations made at least 7 days (168 hours) before the scheduled start time receive a full refund. Cancellations made less than 7 days before departure are non-refundable.

    Multi-day journeys & bespoke packages: the following standard schedule applies unless a different policy is stated on your booking confirmation or contract:

    • More than 60 days before departure ​ deposit retained, balance refunded.
    • 6031 days before departure ​ 50% of the total trip cost is non-refundable.
    • 30 days or fewer before departure ​ 100% of the total trip cost is non-refundable.

    Some accommodation, activities and third-party services within multi-day packages may be subject to stricter supplier-led cancellation terms; where this is the case we will flag it before payment.

    All cancellation requests must be made in writing to info@easytravel.is. Refunds are processed back to the original payment method.

    Promotional Codes & Gift Cards

    Promotional codes and special offers must be entered at the time of booking and cannot be applied retroactively as a refund. Promotions run by resellers or booking agents outside the Easy Travel Iceland website cannot be applied to direct bookings without prior approval. Gift cards are charged in full at the time of purchase, are non-refundable and may be transferred to another recipient.

    Extras & Rental Gear

    Extras such as additional activities, high-end vehicles or rental equipment can be added during the booking process or by contacting info@easytravel.is. Where rental gear is required for a specific activity, please confirm availability with us in advance. Safety equipment necessary for the operation of a tour (for example glacier equipment) is provided by Easy Travel Iceland or our activity partners and is not classified as rental gear.

    Travel Insurance

    We strongly recommend that every guest holds personal travel insurance with adequate medical, repatriation and cancellation cover before travelling to Iceland. Insurance is particularly important when participating in adventure activities such as glacier hikes, ice caves, snowmobiling or boat tours. Easy Travel Iceland is not responsible for losses that would otherwise be covered by an appropriate insurance policy.

    Icelandic Weather & Conditions

    All adventure trips and outdoor activities are dependent on weather and general conditions, which can change quickly ​ particularly in winter. Easy Travel Iceland reserves the right to alter the itinerary, swap activities or, where necessary, cancel a trip with safety in mind. If we cancel a tour due to weather or unforeseen events, you will be refunded for the affected portion of the trip. If you choose to cancel for weather concerns when the tour is going ahead, the standard cancellation policy applies.

    When a material part of a trip cannot be operated due to circumstances outside our control, and an alternative cannot be arranged, a partial refund will be issued reflecting the cost of the affected component rather than a fixed percentage of the overall trip.

    Changes & Service Adjustments

    Easy Travel Iceland reserves the right to modify routes, pickup times, vehicles or guides where required by weather, road conditions, supplier availability, safety considerations or other operational factors. We will always work with you to find a suitable solution. We are not responsible for additional costs arising from circumstances outside our control such as flight delays, road closures, natural events, pandemics or other force majeure.

    Passenger Responsibilities

    Passengers must provide accurate and complete contact information at the time of booking and keep that information current while travelling. You are responsible for being ready at the agreed pickup location at the scheduled time. Significant late arrivals at pickup or during the day may result in reduced service time or cancellation without refund.

    It is your responsibility to read the tour description and any associated documents to understand what each tour involves. If you are unsure whether you are able to take part in any element of a tour ​ for example for medical, mobility or age-related reasons ​ please contact us before booking.

    Assumed Risk & Outdoor Activities

    Guests are advised that all outdoor activities are undertaken at their own risk and that participants must follow the instructions of Easy Travel Iceland staff and our activity partners at all times. All outdoor tours carry inherent risks; Easy Travel Iceland does not accept responsibility for incidents caused by the actions of guests themselves or by factors outside human control. Depending on the activity, you may be asked to sign an additional liability waiver or medical disclosure form on the day.

    Alcohol & Conduct

    We reserve the right to refuse participation to any guest who, in the reasonable opinion of our staff, is under the influence of alcohol or drugs, or whose behaviour is likely to cause offence, distress or risk to other guests, the public or our staff. In such cases no refund will be given and full cancellation charges apply.

    Liability & Limitations

    Easy Travel Iceland is not responsible for personal belongings left in vehicles or at accommodation. Our liability for any individual booking is limited to the value of the service booked, except where applicable Icelandic law provides otherwise. We do not accept liability for indirect losses, missed flights or connections, or expenses resulting from delays outside our control. Estimated tour durations on our website are guideline times and may vary with road or weather conditions.

    Operational Expectations

    • All quoted multi-day itineraries include accommodation, activities, guide costs, private vehicle, fuel and associated services, unless otherwise stated.
    • Where you have already booked components of your trip outside Reykjavík, we may ask you to cancel them if they conflict with the smooth operation of our quoted package.
    • We do not provide an itemised cost breakdown for package quotes (private day tours, self-drive or multi-day packages). Confidential supplier rates are part of the package price; individual prices are provided for upgrades and optional extras only.
    • All quoted itineraries and prices are indicative only until we confirm in writing that the booking is final. A trip price and itinerary are final once all components have been reserved.
    • Once an itinerary has been agreed and paid for, it is your responsibility to read the information provided and to raise any questions before the trip begins.
    • Major changes to a confirmed itinerary should be requested before payment. We do not rebuild itineraries in real time during the trip; minor adjustments and paid additions can normally be handled by our operations team.
    • Our operations team is reachable from 08:00 to 20:00 Iceland time, every day, for in-country support during your trip.
    • Easy Travel Iceland does not arrange international flights.

    Privacy

    Personal information collected during the booking process is treated as confidential and is not sold or shared with unrelated third parties. Information is shared with the suppliers needed to deliver your trip (for example hotels and activity operators). For full details please see our Privacy Policy.

    Reviews & Feedback

    Governing Law

    These terms are governed by Icelandic law. Any dispute arising from the use of our services is subject to the exclusive jurisdiction of the Icelandic courts. The cancellation and operational terms shown on your booking confirmation or contract apply to your specific booking, regardless of any later changes to this page.
